Importing from Office Ally

Here’s some information for moving your data over from Office Ally EHR to Jane.

We’ve successfully brought over patient demographics, future appointments, and even charts (woo-hoo! )

You’re able to export this information out of Office Ally EHR, which is what this guide is primarily referring to.

And while this guide is focused on patient demographics, future appointments, and charts - we’d be happy to review any other data to see if we’re able to import it to Jane. Just give us a shout!

Exporting your Patient List from Office Ally EHR

  • Click on Patient Charts
  • Click on Reports
  • Within the drop down menu, select Patient List (CSV/Excel Export)
  • Filter the data accordingly
  • If exporting as CSV, select either Short Record or Long Record (this includes Primary Insured/Secondary Insured information)
  • Click Export
  • Open the file
  • Create the headers (by selecting the first row, then “right-click”, then “Insert”), and insert the appropriate headers (Patient First Name, Patient Last Name, DOB, Phone Number). There may be a couple of columns containing phone numbers. Choose the column with the cell phone number, and label this “Phone number”

Exporting your Office Ally EHR Appointments

  • Click the Appointments tab
  • Click on Reports
  • Within the drop down menu, select Monthly Appointments report
  • Filter the data accordingly
  • Click on Export to Excel
  • Ensure all appointments are clearly associated with a patient

Exporting your Office Ally EHR Chart Notes

  • In Office Ally, Chart Notes are referenced as Clinical Exchange Info
  • Click the Patient charts tab
  • Select Patient(s)
  • Select Others
  • Select Export Clinical Exchange Info.
  • Select the sections you would like to export using the checkboxes
  • The document type indicated will be CCD (Continuity of Care Document)
  • Once filtered, click Export and you will be prompted to enter your login credentials
  • Once downloaded to your computer, select the Save As an option
  • Save the file in CSV or Excel Format to your computer
  • Click Open to view the downloaded files, and re-name file as desired

Exporting Office Ally EHR Billing Data

We don’t import billing information as there are formatting issues between the two systems, but we can show you how to manually transition your patient credits and receivables into Jane.

You can also print or export and store your past Receivables for reference.

Other Data

If you see other reports within your Office Ally account that you are wondering about importing just let us know! In most cases, the data (excluding BILLING data) that is exported to Excel or CSV can be imported in some capacity. Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Schedule an Import area.
