Importing from ClinicSense

Here’s what we know about moving over from ClinicSense to Jane.

Exporting your Clients from ClinicSense

So coming from ClinicSense, we’ll need you to upload your Client export with as much detail as possible.

We’ve heard that you can do this from the Clients page by clicking the download button that looks like an arrow pointing downwards.

You will end up with an exported Excel document with all of your Clients.

Exporting Appointments from ClinicSense

Appointments from ClinicSense can be exported in the Appointments Report feature. In the Appointments Report, filter the Date Range to capture all past and/or future appointments as needed. There is the option to save as a CSV or PDF file. Select the CSV option.

Please note: We’ve heard from clinics coming from Clinicsense that the export can time out if you have a lot of appointments. You may need to filter and export the report in smaller batches to complete the request.

💡 A Note about Appointment Durations

In the Appointments file, there isn’t a column specifying the duration of the appointments. If, for instance, the names of your services contain duration information (eg. “30 minute Massage”, “45 minute Massage”, etc.), we can use this to import the appointments with the corresponding duration.

If the service names don’t contain duration info, no sweat! We’ll import the appointments with a placeholder duration of 30 minutes and after the import is complete, the appointments can be updated with the correct duration by following our guide on Reassigning Appointments.

Transferring Clinical Notes/Charts

We have been told that ClinicSense do not have a batch export option for chart notes. We have had clients move clinical notes over by downloading them individually and then uploading them one at a time into Jane’s charts.

Note: Jane does allow for a batch export if you decide to leave for any reason. So you will be able to export all patient charts in a single export should you be looking to work with another practice management software, close your practice, or move to another practice.

This manual transition of single charts mimics the paper charting transition workflow, since you have to decide how much information to move over and when to move it. Financial Data

Just a note to ensure that it’s quite transparent that financial and billing data (such as invoices and receipts) do NOT transfer from ClinicSense to Jane. See this help guide on transferring your credits and A/R over manually.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Schedule an Import area.
