Importing from Atlas Chiropractic Software

Here’s what we know about moving over from Atlas Chiropractic Software to Jane.

Disclaimer about our import guides: We create our guides through the experiences we have importing from different software, as well as searching for guide documents from these softwares to assist our customers in transitioning over to Jane. If you have any difficulty while retrieving your data, it’s best to reach out directly to your current software provider.

Exporting your Customers from Atlas Chiropractic Software

Coming from Atlas, we’ll need you to upload your Customer/Patient export with as much detail as possible.

To export client demographics, you can follow these steps:

  1. Navigate to the Reports tab in Atlas
  2. Click Patient report
  3. Select Patient List

This will export your client demographic data to a CSV file titled ADDRESSBOOK.csv, which we’re able to import. This file contains name, email, address, and phone number information only.

Active/Inactive status

We have seen some clinics also provide us with a ‘Patient List’ file that contains Patient ID numbers, name, address, and Active or Inactive status in a ‘Last Visit’ column. We have seen this exported as an Excel (.xls), CSV (.csv), or PDF (.pdf) file. Excel or CSV is preferred, but we’ve also been able to extract data from the PDF file.

Date of Birth info

We have seen some clinics similarly provide us with a ‘Patient Birthdays’ file that contains Patient ID numbers, name, address, and Date of Birth information in a ‘Birthdate’ column. We can use this file to bring in clients’ birthdate information.

Exporting your Charts from Atlas

Exporting your charts as a batch can be done from the Utilities tab in Atlas. To export your data, you can:

  1. Navigate to Utilities
  2. Click Export All Patients
  3. A ‘What do you want?’ prompt will appear
  4. Select ALL the tabs you would like to export
  5. Click Export

This will create individual folders for each patient with their files (Care Report, Statement, etc.) in PDF.

You can then create a Zip file containing all the individual client folders and upload the .zip file into the import. The import area isn’t able to accept folders, so a zip file will need to be created in order to upload the data. For assistance with that, here’s a handy guide: How to Make a Zip File

If you’re working with a very large dataset, you may need to break the dataset into smaller zip files, for example, creating zip files for patients A-G, H-K, etc. If you’re using a Windows device and are having difficulty creating the zip file due to special characters, we recommend trying another program to compress the data, such as 7Zip.

Please note that author information isn’t present in the batch export, so we import all of the chart entries under a placeholder author, Admin Account. This staff profile can be merged into another staff profile if that individual is the author of ALL of the chart entries. We also have a guide to help with that.

Chart Date information is similarly not present in the batch export, so we import all chart entries with the date of the import unless specified otherwise.

Exporting Products from Atlas

We have seen a few clinics provide us with a ‘Stock Items’ file that contains product information such as product name, cost, price, inventory, etc. We’re not sure how to export this report from Atlas, so we’d recommend reaching out to them directly for assistance: Atlas - Contact Us

Exporting Appointments from Atlas

We have never had a clinic successfully export any appointment data from Atlas. As far as we know, Atlas does not have a report to export appointment information, such as patient name, start date & time, duration, treatment name, staff member, etc. We recommend moving upcoming appointments over manually after the import is complete. It’s good to plan your import over a time period where there’s some downtime (such as a weekend) to book the appointments in.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Schedule an Import area.
